Meet your new HR assistant (and no, it’s not a person)

Let’s face it: HR inboxes are busy places. Questions about leave days, company policies, training budgets, or benefits all pile up. And while HR teams do a fantastic job supporting employees, answering the same questions again and again is not the best use of their time.
At Customer Collective, we decided to test a smarter approach with a little help from AI. Together with Dignify, we developed an internal knowledge bot that responds to HR-related questions from employees across the group. Think of it as a digital HR assistant that never sleeps and always has the handbook open.
The setup is simple but powerful. Documents and policies are stored securely in Microsoft Azure, while a React-based frontend allows employees to interact with the bot in a conversational way. Behind the scenes, a Retrieval-Augmented Generation (RAG) model ensures that answers come directly from our own HR documents nothing generic, no guesses, just the right information pulled from the right place.
The impact has been immediate. Employees get instant, confidential answers to practical or sensitive questions. HR teams spend less time handling repetitive queries and more time focusing on the work that really matters: building culture, supporting growth, and driving people initiatives forward.
As Stéphanie Duchemin, Head of Human Capital, put it:
“The engineers showed professionalism and expertise in creating our internal knowledge bot. What also struck me was that the consultants dug into the HR materials and worked with our HR experts to develop solutions that truly met our needs.”
It is a great example of how AI doesn’t replace the human side of HR it actually makes it more accessible. By giving employees a reliable first stop for questions, HR becomes more approachable, not less.
Curious how a solution like this could help your company?
